A car dealership office manager has a lot of responsibilities. Apart from providing all office services to all associates, he or she is also responsible for monitoring communication among the employees. Maintaining office services following different office processes, giving approval to requisitions and more are other important responsibilities. Also, if any employee has done something wrong that goes beyond the company rules then the manager is required to conduct one-to-one meetings with them and also provide them with show-cause letters.
Keeping track of all vehicle inventory and parts orders is another responsibility of the automotive office manager. Moreover, he or she is also responsible for preparing a monthly financial statement by analyzing dealership accounting procedures and data. Additionally, he or she reviews manufacturer accounts and invoices for credits, warranty claims, interest, protection and co-op advertising.
Another important task for an auto store manager is to ensure that the dealership staff is well-trained, efficient and helpful. This is accomplished by delivering training on analytical equipment, cash and credit transactions, sales techniques, customer service, catalog research, parts ordering and installation, store cleanliness and more. Managers often hold weekly employee meetings and present tips for improving customer satisfaction.
Lastly, the automotive office manager must also submit all reports and recommendations to senior managers or company owners. This includes reports on sales, damage, theft or loss, customer lists, inventory logs, expense reports, employee reports and more. Additionally, he or she may conduct on-site store inspections or evaluations to make sure that all staff members and operations are being performed properly.
